Maintenance Plan Campaign for HVAC and plumbing companies

Sell HVAC maintenance agreements to the customers you already have

The Maintenance Plan Campaign is a 30-day campaign to your past customers by email and phone. We sell the maintenance plan you already run, and you keep every signup. Members book tune-ups in the slower weeks and add to what your business is worth.

How to sell HVAC maintenance agreements without pulling techs off jobs

Most shops offer the plan at the end of a service call, when the tech is tired and the homeowner is thinking about the bill. Some techs ask every time, some never do, and customers from past years don't hear about it at all.

The Maintenance Plan Campaign goes back to those customers on purpose. Over 30 days we reach your past-customer list by email and phone, and sign the ones who say yes into the maintenance plan you already run: an HVAC maintenance agreement, a plumbing maintenance plan, or both. There's no printed mail and no texting.

Sound familiar?

"We have a plan. Hardly anyone's on it."

"Spring and fall are packed, then the phones go quiet."

"We have years of customers in the software and we never email them."

"I know memberships matter if I ever sell. I just haven't had time."

Why it matters

Steadier months and a business that's worth more

Members book tune-ups in the slower weeks, call you first when something breaks, and renew. In Jobber's 2026 Home Service Trends Report (1,050 owners, surveyed December 2025), 34% named weather and seasonality the biggest challenge limiting their growth, and 59% said referrals and repeat customers are their top source of work. In ServiceTitan's 2026 Residential State of the Trades Report (1,000 contractors), 53% put keeping customers first and 31% put winning new ones first.

Lightning Path Partners, an M&A advisory firm, writes that an HVAC company with a maintenance agreement book at 30% or more of revenue can expect a multiple at the high end of its range, and one below 15% at the low end. By their estimate, each 10-point rise in recurring revenue can add 0.5 to 1 times to the multiple. HVAC Know It All, citing M&A advisors, puts the value of the agreement book itself at 2 to 3 times its annual recurring revenue.

Per member

What one member is worth

Smart Service, a field service software company, puts a typical basic residential plan at $150 to $300 a year. At 2 to 3 times annual value, each member adds roughly $300 to $900 to what your agreements are worth, before any repair or replacement work they buy.

Renewals count as much as signups. Smart Service reports that auto-renew plans renew at 80% or more, compared with 40% to 50% when customers renew by hand. We set up every signup on auto-renew with clear terms.

How it works

How the 30 days run

1
Week 1

Pull and clean your list

You export past customers from ServiceTitan, Housecall Pro, Jobber or a spreadsheet. We remove duplicates, bad email addresses and current members, and build the call list.

2
Week 1

Write the offer with you

We agree on the plan, the price and the signup offer together. If you don't have a plan yet, we help you design one: price points, what's included and auto-renew terms.

3
Week 2

Email

Every past customer with a good email address gets the offer by email, with a simple way to sign up and a reminder a few days later.

4
Weeks 2 to 4

Phone follow-up and signups

Follow-up calls come from your office using our script and call list, or from us. We settle that on the first call and price it in. Either way, every yes is signed into your existing plan with auto-renew set up, and every call is logged on the tracking sheet.

Week-by-week timing is a guide. We confirm the calendar with you before launch.

Who it's for

Who the campaign is for

HVAC and plumbing owners, and electrical companies too, who have a past-customer list and few maintenance plan members. It fits best if selling the business someday is on your mind.

Painting, drywall and remodeling companies don't have a service customers need every season, so the campaign is a poor fit for them.

FAQ

Questions about maintenance agreements and the campaign

No. We work from an export of your customer list, from ServiceTitan, Housecall Pro, Jobber or a spreadsheet, and sign members into the maintenance plan you already run. You don't need to buy or learn anything new.

We help you design one before the campaign starts: price points, what's included and auto-renew terms. You approve every part of it, and we suggest your attorney reviews the terms.

No. The campaign runs by email and phone only. There's no printed mail and no texting.

Follow-up calls come from your office using our script and call list, or from us. We settle that on the first call and price it in. When a customer wants to book a repair or a visit, the call goes to your office either way.

A basic residential plan typically runs $150 to $300 a year, according to Smart Service. Plans in that range often include a cooling check in spring, a heating check in fall, and perks like priority scheduling or a repair discount. A plumbing maintenance plan works the same way with a yearly inspection.

The visits, what each visit covers, the member perks, the price, how it renews and how to cancel. Clear renewal and cancel terms keep you in line with state auto-renewal laws and make renewals easier to keep.

They can be. Members smooth out the slow months, and buyers pay for them. Lightning Path Partners writes that an HVAC company with a maintenance agreement book at 30% or more of revenue can expect a multiple at the high end of its range, and HVAC Know It All, citing M&A advisors, puts the agreement book itself at 2 to 3 times its annual recurring revenue.

Yes. Inside a monthly plan, the Maintenance Plan Campaign uses 2 to 3 sprints, and we tell you how many before we start. Plans run 1, 3 or 6 sprints a month, and you pick your sprints from our sprint menu.
